Home care software where the hours you verify are the hours you bill
AgenciesForge is software for non-medical home care agencies: it matches caregivers to clients, schedules and verifies visits with EVV, and bills from the verified hours, either as private-pay invoices or as Medicaid claims through the included clearinghouse. It prices by active clients, not by caregiver, so every plan includes unlimited staff. Plans start at $199 a month for up to 50 clients.
Setting up is free. You pay when you go live. Unlimited clinicians on every agency plan.
A caregiver checks in from their phone
GPS-verified visit start, today’s care plan on the screen, and the task checklist for this client — the same visit record that becomes the claim.

What a home care agency gets
Caregiver matching
Ranks caregivers for each shift by credentials, skills, language, client preferences, distance and overtime, and keeps continuity with the caregivers a client already knows.
Scheduling that respects the authorization
Builds a standing weekly schedule from the client's authorization without ever scheduling past the units approved. Open shifts can be offered to eligible caregivers to claim.
EVV on every visit
Caregivers start and end visits from their phone, with the tasks from the client's service plan. Visits go to your state's EVV aggregator where one is required.
Bill the hours actually worked
Private-pay, long-term-care insurance and VA invoices are built from EVV-verified hours at each client's rate. Medicaid and waiver services go out as claims.
Margin by client
Bill rate against caregiver pay, per client and agency-wide, with unprofitable and unpriced clients flagged.
Service plans and standards
A non-medical service plan for each client, and CHAP and ACHC home care standards to keep you ready for accreditation.
What to check in any home care software
Whichever product you choose, these decide how much you actually collect:
- Are invoices built from the hours EVV verified, or from the schedule? Verified visits that never get billed are the most common revenue leak in home care.
- Does scheduling stop you from going past a client's authorized units?
- Can it match caregivers on skills, language and client preferences, not just open time slots?
- Does it connect to your state's EVV aggregator for Medicaid clients?
- Is it priced per caregiver? Home care runs on part-time staff, and per-seat pricing charges you for every one.
Pricing
| Plan | Per month | Active patients | Clinicians |
|---|---|---|---|
| EHR Starter | $199 | Up to 50 | Unlimited |
| EHR Professional | $499 | Up to 200 | Unlimited |
| EHR Enterprise | $1,099 | Up to 500 | Unlimited |
No setup fee on these plans, and the clearinghouse is included. A new agency still getting its state home care license can start on a certification plan, which walks the license, policies, caregiver onboarding and EVV steps.
Is it the right fit?
A good fit
- Non-medical home care and personal care agencies
- Agencies billing a mix of private pay, long-term-care insurance, VA and Medicaid
- Agencies that also provide skilled home health or waiver services
- New agencies working toward a state home care license
Probably not a fit
- Staffing agencies that place caregivers in facilities
- Agencies serving more than 500 active clients (talk to us about a custom plan)
Questions owners ask
What is the best software for a non-medical home care agency?
Look for one that ties scheduling, EVV and billing to the same visit, so the hours a caregiver actually worked are the hours you bill. AgenciesForge does that: it matches caregivers to clients, verifies visits with EVV, and turns verified hours into private-pay invoices or Medicaid claims. Established alternatives include AxisCare, AlayaCare, WellSky Personal Care, HHAeXchange and Ankota.
How does caregiver matching work?
For each shift it ranks caregivers by fit: required credentials and skills, language, the client's gender preference, distance, availability and time off, and overtime. It favors caregivers the client already knows and never suggests one the client has asked not to see. The scheduler makes the final choice.
Can it bill private-pay clients as well as Medicaid?
Yes. Private-pay, long-term-care insurance and VA clients get invoices built from EVV-verified hours at each client's bill rate. Medicaid and waiver services go out as claims through the included clearinghouse.
Does it track my margin per client?
Yes. With bill rates and caregiver pay rates on each service plan, it shows weekly margin per client and agency-wide, and flags clients who are unprofitable or have no rate set.
Is it the same as home health software?
No. Non-medical home care has its own service plan instead of a 485, and none of the Medicare skilled-care requirements (OASIS, PDGM). AgenciesForge treats home care as its own service line; an agency that runs both can use one system for both.
Does it charge per caregiver?
No. Every agency plan includes unlimited staff. The price is set by active clients: $199 a month for up to 50, $499 for up to 200, $1,099 for up to 500.
